designing agentic meeting experiences for high-stakes governance

ICD along with clients team designed workflows and UI/UX for agentic POCs such as an Annual General Meeting portal for board members, shareholders and stakeholders. The idea was to move beyond a static meeting interface and imagine how AI could support live governance: helping users access documents, understand resolutions, ask questions, receive AI-assisted answers, vote with context and follow the meeting as it unfolds. Designed and taken to production as a POC within about a week, the experience brought together live meeting, voting, Q&A, documentation and AI assistance into one coherent product flow.

making governance easier to participate in

ICD’s thinking focused on reducing the cognitive load of formal shareholder meetings. Instead of asking users to move between reports, voting screens, livestreams and Q&A tools, the interface brought the essential actions together. AI summaries, board recommendations, document references and contextual responses helped users understand what they were voting on and why it mattered.

fast POCs for complex public-sector and enterprise contexts

The work shows ICD’s ability to think laterally about emerging AI use cases and quickly turn them into believable product experiences. Similar thinking has been applied across products for government and enterprise contexts in Abu Dhabi, Qatar and Dubai, where the challenge is often the same: make complex, high-trust workflows feel clear, usable and ready to test in a short time.

The Annual Meeting Portal shows how ICD translated a formal, high-stakes governance process into a more accessible AI-powered product experience. Across live meeting views, document summaries, voting cards, Q&A panels and AI assistant prompts, the interface helps shareholders and board members understand what is being discussed, ask better questions and act with more context. Instead of treating AI as an add-on, the experience places it inside the actual moments of decision: reading resolutions, checking recommendations, finding answers in reports and casting a vote with confidence.

making meeting knowledge easier to use

These screens show AI support around the knowledge layer of the Annual Meeting Portal. The AI Agent helps users ask meeting-specific questions, check what is next on the agenda, surface ESG or sustainability topics and see whether a concern has already been answered. The documentation experience turns dense reports, proxy statements and financial results into accessible summaries, so stakeholders can move from reading long documents to understanding the points that matter. Together, these flows make the meeting less dependent on manual searching and more useful as a guided, AI-assisted governance experience.
